Operations and Office Administrative Coordinator
We are seeking an Operations and Administrative Coordinator to join our Agri-Services team in Putnam, Ontario. About the Role
As the Operations and Administrative Coordinator, you will help keep our Putnam branch running smoothly by supporting the administrative processes behind daily operations, receiving and shipping, inventory management, retail transactions, and customer service.
You will work closely with the Operations team, customers, suppliers, carriers, and other internal departments to maintain accurate records, coordinate information, process transactions, and ensure operational documentation is complete and up to date.
This role also supports inventory traceability, audit and compliance requirements, and front-office activities, making it an important connection point between the administrative and operational sides of the branch.
What You’ll Do
- Process and maintain customer and tenant orders, documentation, and related records
- Enter, update, and maintain accurate information across company and customer systems
- Maintain operational Excel files, reports, logs, and tracking records
- Process purchase orders and support routine administrative requirements for the Operations team
- Organize and maintain production, receiving, shipping, and other operational documentation
- Maintain railcar receiving records, tracking information, and supporting documentation
- Process feed and lime receiving, production, and shipping records
- Coordinate and maintain Kahler UAN tracking and load setups to support logistics planning and shipment execution
- Communicate with customers, suppliers, carriers, Operations, and internal departments regarding receiving, shipping, and operational requirements
- Maintain accurate inventory, lot, and product traceability records and assist with inventory monitoring and reconciliations
- Investigate and help resolve inventory discrepancies in coordination with the Operations team
- Provide invoicing and administrative support for branch retail operations, including processing customer transactions and maintaining supporting documentation
- Support Safe Feed/Safe Food, Health & Safety, inspections, and internal and external audit recordkeeping
- Provide professional front-office support to customers, drivers, visitors, and other site contacts
- Provide backup support for scale operations as required
- Provide additional administrative and operational support to the branch as required
About You
You are a highly organized and dependable professional who takes pride in keeping information accurate and operations moving. You are comfortable managing multiple priorities, communicating with a variety of internal and external contacts, and following through when discrepancies or issues arise.
You bring:
- A minimum of 3 years of clerical, administrative, or related experience in a computerized environment
- College education in Business, Administration, or a related field is preferred
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Excellent attention to detail and commitment to maintaining accurate records and documentation
- Strong written and verbal communication skills
- Strong problem-solving skills and the ability to identify and follow through on discrepancies
- The ability to work collaboratively with Operations and other departments
- A high degree of accountability and dependability
- The ability to adapt to changing operational priorities and business requirements
- Comfort working with computerized systems, spreadsheets, records, and administrative documentation
- Knowledge of the agriculture industry is considered an asset
