Office Administrator

We are seeking an Office Administrator to join our Agri-Services team in Pontypool, Ontario. This role is an important part of the day-to-day operation of the branch, supporting customers, sales, accounting, inventory, and administrative activities.

About the Role

As the Office Administrator, you will help keep our Pontypool branch running smoothly by supporting customer service, invoicing, accounting, inventory, and general office administration.

You will work closely with customers, sales representatives, management, and other team members to ensure information is accurate, transactions are processed efficiently, and customers receive responsive service.

The role also provides administrative support for grain-related activities during key periods of the year.

What You’ll Do

  • Enter and maintain accurate information for fertilizer, crop protection, seed, grain, and other agricultural products
  • Prepare and process customer invoices, payments, cash receipts, bank deposits, and accounts payable documentation
  • Assist customers with account questions and provide friendly, professional service by phone and at the branch
  • Support sales representatives with customer contracts, accounts, reporting, and data entry
  • Assist with weekly and monthly inventory reconciliation for crop protection products
  • Maintain customer and product records, files, mail, office supplies, and other branch documentation
  • Support grain administration, including contracts, receiving tickets, settlements, customer cheques, and related documentation
  • Coordinate shipping information and paperwork with customers and transportation providers as required
  • Assist management and the sales team with reports, presentations, and other administrative requirements
  • Support the training of new team members on administrative processes and procedures
  • Identify opportunities to improve administrative processes, systems, and overall efficiency
  • Maintain a safe, clean, and organized work environment in accordance with company standards
  • Provide additional administrative and branch support as required

About You

You are a highly organized and dependable professional who enjoys working with people and managing a variety of responsibilities. You take pride in accuracy, communicate effectively, and are comfortable shifting priorities in a busy agricultural environment.

You bring:

  • 3–5 years of office administration or related experience
  • Diploma or degree in agriculture, business, information systems, or a related field is preferred
  • Strong organizational and time-management skills with the ability to manage multiple priorities
  • Excellent attention to detail and commitment to accuracy
  • Strong customer service and relationship-building skills
  • Effective written and verbal communication skills
  • Proficiency with Microsoft Office applications
  • Experience working with an ERP or business management system
  • Strong problem-solving skills and the ability to work independently or as part of a team
  • A high degree of professionalism and integrity
  • Agricultural or agri-business experience is considered an asset
